From the first clock-in to an inspection: how CheckInGO works

Your team clocks in in 3 seconds from a phone, a tablet or a computer. You get shifts, overtime, time off and the record of working hours in the same dashboard, without buying any device.

Try it: type any 6-digit code and press Clock in. It’s a demo, nothing is saved.

Emily arrives on site

Clocking in takes 3 seconds, from anywhere

Each employee has a personal 6-digit code linked to their name. They type it, press Clock in and that’s it. The time comes from the server, so changing the clock on the phone won’t move a clock-in earlier or later.

  • On their phone. From the browser, with nothing to install, or with the Android app.
  • On a tablet at the entrance. Shared kiosk mode: everyone clocks in with their own code. Handy for people who don’t want to use their personal phone.
  • On a computer. From any browser, at the office or working from home.

Adding a new employee

From your dashboard, with their first and last name. If you add their email, they automatically receive their code and how to clock in, without you having to pass it on.

Location, only when clocking in

In at 08:02, out at 17:30

With location switched on for an employee, the clock-in stores where it was made at that moment. Nothing else: there’s no tracking during the working day or outside it.

It’s switched on employee by employee. Before you turn it on, tell your team what is collected and why. In the UK and the EU the GDPR requires it; elsewhere, check the privacy rules that apply to you.

Daniel checks his shifts for the week

Rotas everyone sees on their phone

You plan each employee’s week from the dashboard and export the rota as a PDF. Everyone sees their shifts in their own dashboard, with no photos of the rota going round the group chat.

  • Split shifts. A shift can have two blocks and the system adds up the hours of both.
  • Night shifts. Someone who starts at night and finishes in the early hours is marked as a night worker when you add them, and their hours count towards the day the shift started.
  • Rota as a PDF to pin up or send to whoever runs your payroll.

Only need the rota? Try the free shift schedule maker.

Emily asks for time off during her break

Time off, breaks and incidents without stray messages

Every employee has their own dashboard: they request time off, report a missed clock-in or a late arrival, pause the working day and check their hours and shifts. You approve or reject from yours.

  • Time-off balance in plain sight. Employees see their total, used, pending and available days, and the system won’t let them request the same dates twice.
  • Breaks with a start and an end time. The time is deducted when they resume. If someone doesn’t resume, the break stays open and visible, without making up a time.
  • Absences. Unexcused absences, leave, medical appointments and sick leave, with their dates and notes, and their own PDF report. When sick leave ends, the employee is reactivated automatically on that day.

Emily clocks out

Overtime calculated, not jotted down by hand

You set each employee’s daily hours. Every night, once the day is closed, the system compares their clock-ins with the hours they were due to work and lists any extra time in the overtime section. Shifts that run past midnight add up correctly too.

  • Paid or time off. You decide how each hour is compensated, in line with the employment contract and the rules that apply to you, and it stays on record.
  • Hours bank. If you switch it on for the company, time someone works short one day goes into their bank, and extra hours on other days pay it back before counting as overtime. Temporary staff aren’t included in the bank.
  • Monthly report with the overtime built up, ready for payroll.

If a clock-in is corrected, it shows

An admin can add or correct a clock-in, but the change doesn’t erase anything: the original time, the new one, when it was changed and the reason, which is mandatory, are all kept. If a clock-in has to go, it’s voided and stays on record.

A record that can be changed without a trace is worth very little on the day someone questions your hours. With the history, every correction is in plain sight.

Clock-in history

You can’t save without a reason.

A basement with no signal

No signal? You can still clock in

With the Android app, the first time an employee clocks in with a connection, offline mode is switched on for their device. From then on, if there’s no network, the clock-in is saved on the phone with its time and syncs on its own when the connection is back, even without opening the app.

In the record it’s marked as made offline, so you know which ones arrived later. Useful on building sites, in basements or anywhere out of coverage.

An inspector asks to see your records

A code for the inspector, and you get on with your day

From your dashboard you generate a temporary access code and give it to the inspector. It’s valid for 48 hours, and with it they check the clock-in history for whatever period they need on their own, on a web page, read-only and without your passwords.

Record-keeping rules change from one country to another. We’ve summarised how long you have to keep time records in the US, the UK, Canada, Australia, Ireland and New Zealand.

    Your summary arrives

The summary lands in your inbox and the PDF is one click away

Every day you get a summary with clock-ins, hours and overtime, without opening the dashboard. Whenever you need it, you export one employee’s clock-ins or the whole team’s as a PDF, for payroll or an inspection.

    • Employees who leave. You record the reason (dismissal, sick leave, personal reasons or other) and their access is switched off. They no longer appear in the active list, but their history is kept.
    • Retention. Records are kept while you’re a customer and, if you cancel, for four more years.
    • Your company’s time zone. Daily closes and calculations run on local time, wherever your business is.

$19 a month for up to 10 employees, with everything on this page

Each additional employee is $2 a month, plus any tax that applies, shown at checkout. No contract, no hardware and 7 days free to try it with your team.

    What it doesn’t do

It doesn’t include payroll, recruitment or document management: most companies that choose us already have an accountant or payroll provider for that. If you need a full HR suite, we’d rather tell you before you try it.

    Frequently asked questions

Does CheckInGO track employees’ location all the time?

No. CheckInGO only takes the location at the moment of clocking in, and only if you switch it on for that employee. The rest of the time it doesn’t record where the employee is, so the company only handles the data it needs. Before switching it on, tell your team what is collected and why.

Do I need to install anything or buy a time clock?

No. Employees clock in from the browser on any phone, tablet or computer, or with the Android app. If someone doesn’t want to use their personal phone, you can put a tablet at the entrance in shared kiosk mode and everyone clocks in with their own code.

    How does CheckInGO calculate overtime?

It compares the daily hours set for each employee with their actual clock-ins and works out the extra hours at night, once the day is closed. If you have the hours bank switched on, those hours pay back the bank first. Overtime can be paid or given as time off, depending on the employment contract and the rules that apply to your business.

Can employees clock in without an internet connection?

Yes, with the Android app. It’s made for building sites and places without coverage. The first time the employee clocks in with a connection, offline mode is switched on. After that they can record clock-ins and clock-outs without internet; the data syncs automatically when the connection is back, even without opening the app, and the clock-in is marked as made offline.

How does access for inspectors work?

You generate a temporary access code from the dashboard and give it to the inspector. The code is valid for 48 hours and lets them check the clock-in history on a web page, read-only, without signing up and without you preparing documents or sharing your passwords.

What happens to an employee’s clock-ins when they leave?

When you remove an employee you can record the reason (dismissal, sick leave, personal reasons or other). They no longer appear in the active list, but their clock-in history is kept for four years.
